Run the week in plain English.

Tell Weekola what’s changed. It works out what you mean, checks your rules and prepares the change, then waits for you to confirm.

Included with every workspace 14-day trial

A manager types “Dan can’t do Friday night — give his close to someone who can.” Weekola recognises Dan Hughes, Friday 25 September and his 17:00 to 23:00 closing shift. It checks leave, availability, rest, role and contracted hours, ranks Raj as the best match and prepares a change for the manager to confirm. Once confirmed, Friday’s rota shows Raj on the close and both people are notified.

An example request at The Anchor, week 39.

Ask about anything in your week.

Questions come back as the part of Weekola that answers them: the rota, the clock-ins, the hours. Not a paragraph to read, but the screen you’d act on.

Every answer opens the same screen you’d use by hand.

Tell it what’s changed. Watch it land in Weekola.

Say it the way you would to a colleague. Weekola prepares the change as a preview on top of the real screen, and when you confirm, that screen is what changes.

Leave

“Anna wants 12–16 October off. Approve it if we’re still covered.”

  • Found Anna’s holiday request
  • Checked cover for every day that week
  • Dan is off Thursday too: still covered
  • Leaves Anna 12 of her 28 days
Weekola prepares “Approve Anna’s holiday, 12–16 October” for the manager to confirm. After confirming: Leave approved · Anna notified.

Rota

“Copy last week, but leave Sarah off. She’s on holiday.”

  • Copied week 39 into a draft for week 40
  • Left Sarah’s 4 shifts open
  • Checked leave, rest and roles for everyone else

Timesheets

“Get us ready for payroll.”

  • 21 timesheets in this pay period

Always your decision

Nothing changes until you confirm.

Every change arrives as a preview: who it affects, what moves and what was checked. You read it in seconds, then confirm, edit or cancel.

  1. One sentence says what will happen. No reading between the lines.
  2. Everyone affected, before and after. Each shift as it is now, and as it will be.
  3. Your rules, already checked.Leave, availability, rest, roles and hours: the same checks as the rota.
  4. Anything unusual is flagged.Warnings stay in view. A real conflict removes Confirm altogether.
  5. Then you decide.Confirm, edit the request or cancel. Nothing is saved before you do.

It acts as you.

It uses your permissions and your branches. Anything you can’t change by hand, it can’t change either.

It leaves the same trail.

Every change goes in the activity history, and staff are told exactly as if you’d made it in the rota yourself.

It asks when it isn’t sure.

A name, a date or a shift that could mean two things gets a question, not a guess.

Two ways into the same week.

The rota, timesheets and leave screens stay exactly where they are. Asking is simply a faster way into them, and it follows the same rules and leaves the same record.

By hand
By asking

Same rota. Same rules. Same record.

Good questions to ask first.

What it does, what it won’t, and what happens to what you type.

Ask us something else
Does Weekola Brain change anything on its own?

No. Every change arrives as a preview showing who is affected, what moves and what was checked. Nothing is saved until you confirm it, and you can edit the request or cancel instead.

What can I ask it?

Anything about the week Weekola runs: the rota, who is working, clock-ins, timesheets, leave, swaps and your team. Ask a question, such as who hasn't clocked in, or say what's changed, such as a sick call, a swap or a week to copy. Type it or say it.

What won't it do?

It works with what Weekola itself does. It won't message your staff for you, work out wages or labour cost, or set your business up from an uploaded document. Everything else follows the same rules and permissions as the screens you already use.

Can my staff use it?

Weekola Brain is for managers. Staff keep the Weekola app they already use, and see the updated rota, swap decisions and time off exactly as if you had made the change by hand.

Where do my requests go?

To understand a request, Weekola sends your words and the rota details they refer to to the AI model that interprets them. Private details such as contact and payroll information are left out unless you ask for them, conversations are not stored, and every answer comes back through Weekola's own permission checks.

Does Weekola Brain cost extra?

No. Weekola Brain comes with every Weekola workspace and works across the tools you have switched on, so a business using Rota and Attendance can ask about both.

What if it gets something wrong?

When a name, date or shift could mean more than one thing, it asks rather than guessing. You always see the preview before anything changes, and every change is recorded in the same activity history as a manual edit, so you can adjust it in the rota like any other.

Try it on your own week.
